Live AI demo: Pick your rules above. AI ranks your unpaid invoices and bills below.
Live Demo · AI Business Accounting

See if your business finance
is in good shape this week.

A pretend list of unpaid invoices, bills to pay, and your bank balance. Pick the rules you want (or add your own), click Analyze, and the AI tells you: what to chase, what to pay, what to delay, and whether cashflow this week is on track. Every reminder is drafted for you, personalized to the customer, with follow-ups that read your earlier email so nothing repeats.

This demo uses made-up data. For your business, the same tool reads your live accounting software every morning and sends the to-do list plus a cashflow verdict to your finance team.

What the AI will do: read every unpaid invoice, every bill due soon, and your bank balance. Using the rules below (yours to change), it produces a ranked action list: what to chase, what to pay, what to delay, and whether cashflow this week is healthy.

Your finance priorities

Customers with 2 or more past late payments get chased earlier and harder.
Raises a risk flag if any single customer accounts for more than 30% of what you are owed.
Every dollar matters, but small invoices do not need individual chasing. Group them into one reminder each month.
These are always paid on time no matter how tight cash is.
Bigger vendors are always paid on time to keep the relationship healthy.
For SaaS, marketing, and non-essential vendors, suggest a payment plan rather than paying immediately.
Raises a clear warning when bills due exceed the money likely to come in.
Warn me if the projected end-of-week balance falls below this cushion.

Where this leads

What the same tool does in your business.

This demo runs once on pretend data. In your business the same tool runs every morning on your real invoices, and the to-do list shows up where your finance team already works.

01

Cash comes in faster

Every day the AI picks the actions that will bring the most money in this week, ranked by how much you can expect to collect.

02

Reminders actually go out

The drafts become real emails, SMS, or WhatsApp messages. Either sent straight away or held for you to check first. Nothing sits in a to-do list nobody opens.

03

You see who is risky

Customers who pay late again and again, disputes in progress, and any single customer you rely on too much. All visible every day, not once a quarter.

04

Every rule is your rule

You change the rules from a simple admin screen. The tool picks them up the next morning. No new code. No waiting on a developer.

Under the hood

How the tool actually works.

The demo above is one working example. Your version follows the same shape, connected to whatever accounting software you already use.

Reads your live invoices

Connects directly to Tally, Zoho Books, QuickBooks, Xero, SAP, Odoo, or your own custom system. No spreadsheet exports. No daily uploads.

Your rules stay current

Rules live in a simple admin screen. Change a number, save, and tomorrow the tool uses the new rule. Your finance team owns the rules, not the developers.

Your data stays private

Runs on your own servers. You pick between a big AI provider under a no-storage contract, or an AI model you host yourself. Customer names and amounts never leave your side.

Runs every morning

Not a one-off report. The to-do list refreshes every morning from your live data. Today's actions reflect today's reality.

Writes and sends the reminders

Every draft is personalized to the contact and tone-matched to the action: warm nudge, firm chase, formal final notice. Follow-ups read the earlier email so nothing repeats. Delivered through your email, SMS, or WhatsApp for Business, with escalations posting to a Slack channel your team watches.

Everything is on record

Every action carries the rule that triggered it and the customer history the AI used. Audits and compliance checks are simple because the paper trail is built in.

How we work together

4 steps from your unpaid invoices
to a fresh to-do list every morning.

The way we build every custom AI accounting tool. Fast start, running on your own servers, improved as your team uses it.

01

You tell us

Tell us which accounting software your invoices live in, the rules you follow today (even if you have never written them down), and where you want the to-do list to show up.

02

We plan it

We map out how data will flow, what rules to build, and which tools to send the output to (email, Slack, dashboard). You approve the plan before any code is written.

03

We build the first version

A working to-do list on your servers, reading your real invoices, following your real rules. Ready for your team to check every morning.

04

It runs and grows

Once it works, we can add more rules, more output places, and more finance jobs (checking bills before paying, forecasting your cash, and so on) as you need them.

Frequently Asked Questions

Will this work on our real invoices?
The demo runs on pretend data so you can see how it works without sharing anything real. For your business, we connect the same tool to whatever accounting software you use (Tally, Zoho Books, QuickBooks, Xero, or your own database). Every morning, the to-do list refreshes from your real invoices.
Where does our data live?
For the public demo, nowhere. Everything runs in memory and the invoices are made up. For your business, your data stays on your own servers. You choose between a big AI provider under a no-storage contract, or an AI model you host yourself. Customer names, amounts, and payment history never leave your side.
What kinds of rules can we set?
The demo panel above shows a small set of business-level priorities: be tougher on repeat late payers, warn on customer concentration, batch small invoices, never delay critical bills, protect key vendors, renegotiate optional bills when cash is tight, and keep a minimum bank cushion. You can toggle each one, adjust the cushion slider, and add your own plain-English rules like "Never chase a customer during their busy season". Your real setup can layer on timing rules (send a reminder 3 days before due, chase after 7 days late), amount thresholds, customer-history rules, industry-specific rules, and any combination of these.
Can the AI actually send the emails?
In your real setup, yes. The demo shows the drafts so you can see how they read. In your build, the AI can either send the message straight away, or hold it in a review inbox for your team to approve first. It works with email, SMS, WhatsApp, and Slack for internal escalations. Every message keeps a record of the rule that triggered it.
How is this different from just using ChatGPT?
A chat window sees only what you paste. This tool sees every invoice, follows every one of your rules, and gives you a fresh to-do list every day right where your team already works. The point is not the AI answering a question. The point is the AI actually running your collections work.
Which accounting software can this connect to?
Any modern accounting software: Tally, Zoho Books, QuickBooks, Xero, SAP, Oracle, Odoo, and custom systems too. If your invoice data lives in a spreadsheet or a database, we can read it directly.
Does it keep running or is it one-off?
It keeps running. Your build fires every morning on a schedule (6 AM is common) so today's to-do list reflects today's invoices. It also updates during the day when things change: a new invoice, a partial payment, a customer complaint. Nothing sits stale.
Can Entexis build a custom AI accounting tool for us?
Yes. This is what we do. Hire us on Upwork with a short description of how you handle unpaid invoices today (what accounting software your invoices live in, what rules you follow, and where the to-do list should show up) and we will plan it. First working version on your servers once the plan is agreed.
